Terms & Conditions – Open Call Exhibition at Regent’s Park Gallery, December 2025

Venue: Ground Floor Gallery, Regent’s Park Gallery

Exhibition Dates: 4th December – 18th  December 2025

Delivery Dates: Monday 1st December (12:00–18:00) and Tuesday 2nd December (09:00–18:00)

Collection Dates: Friday 19th  December (09:00–17:00) and Saturday 20th December 2025 (09:00–17:00)

1. Eligibility

- Open to artists aged 18 or over, delivery and receipt of works from UK 

- Each artist may submit up to six works.

- All works must be original paintings, drawings, or original art prints created by the

submitting artist.

2. Size and Presentation

- Maximum framed size: A1 (594 Å~ 841 mm). Most selected works are expected to be A4

or smaller.

- All works must be framed in a plain white frame (IKEA RÖDALM is acceptable).

- Frames must have secure hanging fittings:

- RÖDALM frames with rear hanging clips are acceptable.

- Other frames must have D-rings, positioned one inch from the top, not visible from the

front.

- Works not meeting these presentation requirements may be refused, even if previously accepted.

- If a frame exceeds the stated dimensions, the Gallery reserves the right to de-select the work.

3. Entry Fees

3.1 Entry fees are non-refundable and payable per artwork:

- £6 per artwork entry

3.2 Fees must be paid in full at the time of submission. Unpaid entries will not be considered.

4. Sales and Commission

- All submitted works must be for sale.

- The Gallery will retain a 45% commission on all sales (calculated from the total received via the Gallery’s SumUp card machine).

- Prices stated on the submission form are final and cannot be changed after submission, except by written agreement with the Gallery.

- Artists will receive payment for sold works within 30 days of the exhibition’s closing date.

The Gallery will endeavour to pay sooner, once the buyer has received the work in the condition it was exhibited.

- Artists are responsible for collecting and delivering both sold and unsold works on the collection dates. If a buyer does not collect their purchase, the artist must arrange delivery to the buyer.

5. Submission and Selection

- All entries must be submitted via the official online form at Curator Space. 

- If a delivered artwork differs significantly from the submitted image, the Gallery reserves the right to refuse it. The artist must collect any refused work before the exhibition opens.

  • At least one submitted image must show the work in full, without background, and be suitable for publication.
  • Image file size must be 1MB to  4 MB per image.

6. Delivery of Works

Works must be delivered to Regent’s Park Gallery on:

- Monday 1 December: 12:00 – 18:00

- Tuesday 2 December: 09:00 – 18:00

Late or damaged deliveries will not be accepted.

Artists are responsible for all transport, packaging, and insurance costs during transit and while the work is at the gallery.

For courier deliveries, all customs duties and import charges must be prepaid by the artist.

7. Collection of Works

- Works must be collected on Friday 19th or Saturday 20th  December 2025 (09:00–17:00).

- Artists must give 48 hours’ notice for courier collections.

- Works not collected by 17:00 on 20 December will be disposed of. The Gallery cannot provide storage.

- Artists are responsible for arranging delivery of sold works if not collected by buyers.

8. Insurance and Liability

While every reasonable precaution will be taken, Regent’s Park Gallery accepts no responsibility for loss or damage to artworks, however caused, during transport, handling, storage, or exhibition.

Artists are strongly advised to arrange their own insurance for all stages of participation.

Artists and their guests agree to respect the gallery space, staff, fellow exhibitors, and the Gallery’s reputation.

9. Copyright and Promotion

- Artists retain full copyright of their work.

- By submitting images, artists grant Regent’s Park Gallery a non-exclusive, royalty-free licence to reproduce images of their work and for promotional and marketing purposes (including online, print, and press) in the UK and internationally.

- The Gallery will make every effort to credit the artist whenever possible, but cannot guarantee credits by third parties (e.g. press).

10. Data Protection

Personal data provided by artists will be used solely for the administration of the Open Call and exhibition.

Information will not be shared with third parties except as required for exhibition administration or sales.

11. Withdrawal and Disqualification

- Artists may withdraw their submission before the submission deadline by notifying Regent’s Park Gallery in writing.

- The Gallery reserves the right to disqualify or remove works that breach these terms, even after selection.

- Selected works may not be removed by the artist or buyer before the exhibition closes.

12. Governing Law

These Terms and Conditions shall be governed by and construed in accordance with the

laws of England and Wales.
